Appointment Reminder Application

Missed appointments mean missed revenue. This virtually labour-free, cost effective application "jogs the memory" of patients or clients who might have forgotten a scheduled appointment, giving them the option to confirm or reschedule. It's estimated that opticians experience an average of 15% "no shows" from their scheduled appointments, resulting in a significant loss of revenue.

Appointments might easily be forgotten, but the payroll and overheads aren't. The Appointment Reminder is an automated notification application, designed to deliver appointment information by phone, email, or fax.

The out-call option places the call and delivers a recorded message, interspersed with the appointment specifics. The patient/client is given the choice to confirm or reschedule (by transferring to someone in scheduling). "No-Contact" calls (busy or ring-no-answer) can be retried twice at 15 minute intervals. The date, time, and status of the call are logged for reporting purposes.

 

  Phone Notification

  • The system can be scheduled to out-dial patients (patient data provided by csv files) during, or after, office hours
  • Once voice energy is detected (the phone is answered), the system delivers the "reminder" message
  • Automatically retries failed attempts twice at 15 minute intervals
  • Patient may transfer to staff (if available) to re-schedule, etc.
  • Patients may be given an option to select from a menu of other IVR applications if configured
  • Call delivery status is logged for reporting purposes
